1. All applications for the hire of Preston Grasshoppers’ Club facilities or any part of it must be confirmed through our "Booking Form" and forwarded on completion to the address below preferably by email. The person by whom the form is signed shall be deemed "The Hirer".
2. No function should be considered booked until confirmation has been received in writing (by email) and a deposit if appropriate, is received (unless waived by the Club at the discretion of the manager). Our deposit policy is as follows.
• Meetings or Conference: £100 for new customers.
• For private function £200 Damage Deposit. This must be paid on confirmation of the booking and will be held and released after successful completion of the event.
This is over and above any room hire and catering charges which will need to have been paid seven days prior to the event.
3. The approximate number of guests expected to attend the function must be given at the time of booking and final catering numbers confirmed seven days before the event. Full payment of the total cost of the booking will be due seven days before the event. The deposit will be returned seven days after the function has taken place provided no damage has been caused to the premises that is attributable to The Hirer’s function.
4. In the event of the Hirer seeking to cancel the hiring which has been confirmed by email relating to a booking confirmation form (except in the case of death or an alternative rebooking) then the Hirer shall pay to the Proprietors:
a) over 28 days 0%
b) If cancelled within 28 days to 15 days of function 50%
c) If cancelled within 14 days of function or failing to honour the contract 100%
of the agreed contract price or of any loss (whichever is the greater) which it might incur by reason of its agreement with kitchen staff, bar staff and waitresses and the provision and preparation of perishable goods.
5. The proprietors reserve the right to vary or increase the prices at any time upon notice to the Hirer who shall (within three days of receipt of such notice) be at liberty to withdraw from the contract without penalty but such right to withdraw shall cease at the expiration of the said period and shall not be applicable in the event of an increase or variation in price caused by a change in Value Added Tax or any other statutory legislation which affects the price.
6. The Hirer shall not sub-let the Club or any part of it.
7. The proprietors will not be responsible for:
a) any loss or damage to any property arising out of the hiring;
b) any loss, damage or injury which may be sustained or be done or happen to any person or persons resorting to the club during the hiring arising from any cause whatsoever; or
c) any loss due to any breakdown of machinery, failure to supply of electricity, leakage of water, fire, Government restriction or Act of God, which may cause the Club to be temporarily closed or the hiring be interrupted or cancelled.
8. The Hirer shall indemnify the Proprietors against any claim which may arise out of the hiring or which may be made by any person resorting to the Club during the hiring in respect of any such loss, damage or injury.
9. The Hirer is expected to acknowledge the fire exit routes and ensure that all routes are clear of equipment/tables or personal belongings brought in by the Hirer.
10. The right of entry to the Club or any part of it is reserved to any authorised agent of the Proprietors and any Police Officer at any time during the hiring.
11. We adopt a “Challenge 25” at the Club, and the Hirer is responsible for ensuring its guests and attendees are legally allowed to purchase drinks and have suitable photo ID if under the age of 25. Anyone who cannot prove they are over 18 if challenged will not be served.
12. We expect the Hirer to ensure that their guests and attendees leave the premises quietly at the end of an event and respect our residential neighbours.
13. The Hirer shall be responsible to ensure that good order is kept in the Club during the hiring and the Proprietors may charge the Hirer for any expense that may be incurred for engaging Police Officers to preserve order prior to, during or after any entertainment or meeting in the Club and for any damage suffered in consequence of the hiring whether to the structure, decorations, fixtures and fittings of the Club or any of the utensils or effects of the Proprietors except such as may be caused by any employee of the Proprietors.
14. Where the Hirer is responsible for the hiring of a 'DJ', band or any other form of entertainment all equipment etc. must be removed from the premises within half an hour of the agreed finishing time of the function. Failure to comply will involve the Hirer in additional costs to cover extra staff wages. If convenient, such equipment may be left overnight at the owners risk and collected the next day by arrangement with the Proprietors. The Hirer should ensure all third parties hired in have public liability insurance and all electrical equipment is PAT tested.
15. No bolts, nails, screws, etc. shall be driven into any part of the Club without previous consent of the Proprietors nor shall any placards or any other articles be affixed thereto.
16. No flags, emblems or other decorations shall be displayed outside the Club without the consent of the Proprietors.
17. The Hirer shall remove any flag, emblem or other decoration displayed inside the Club if in the opinion of the Proprietors or any of its appointed officers it shall be unseemly or for any other reasonable cause.
18. No additional lights or extensions from the existing light or sound fittings shall be used without the previous consent of the Proprietors.
19. No food or drink or external caterers shall be brought into the Club without previous consent of the Proprietors.
20. Special arrangements will apply for bookings on Public Holidays or other special occasions.
